PM-ProLearn Training Policies

Policies for All Courses

Terms and Definitions:

  • Benefits Start Date (BSD) - Date on which student is granted access to course materials and begins 365 days of benefits (generally, the course enrollment date)
     

  • Class Start Date (CSD) – First day of live instruction for instructor led courses or first day of course access for self-paced courses Enrolled – Student is assigned a seat and has access to all course materials and starts their 365 days of benefits (generally 2 weeks prior to class start)
     

  • Funded - Payment has been received and student will be “enrolled” or “wait-listed.”
     

  • Wait-listed – If funding for the student is received more than 2 weeks prior to class start date, they will have a student account created, assigned a course seat but not granted access to course material thus delaying the start of their 365 days of benefits.
     

  • Subscription courses – Any course that you are granted access to through a monthly subscription.

 
Establishment of Benefits Start Date (BSD)

This section covers different establishment of the benefits start date for students utilizing third party funding sources (AFCOOL, Army CA, CGCOOL, GI Bill under Chapter 35, Government Purchase Card (GPC), and Unit Funded) and self-funded. All students that fall into one of the funding sources above starting in 2024 will be under this policy.

Once PM-ProLearn receives payment from a student or third party, one of the following actions will take place: 

  • LIVE, INSTRUCTOR led courses: student will be “Wait Listed” until two weeks prior to the Class Start Date (CSD). While “Wait Listed”, the student will NOT have to access the course material. 

    • Two weeks prior to the CSD, the student will be enrolled and given access the course material (this action triggers the BSD).

    •  If student is funded inside the two week window prior to the CSD, the student will be enrolled immediately (this action triggers the BSD)
       

  •  SELF-PACED courses (CAPM or LSS only): you will be enrolled, and your BSD established immediately upon payment. 

  • TBD Invoices: If we receive your funding and the class dates requested are listed as “TBD” on your invoice, your BSD will start 14 days after payment unless you choose a class with a CSD within 45 calendar days of funding. 

  • Immediate Activation: Students may choose to activate their enrollment immediately once funds are received. If the student chooses this option, it will immediately trigger their BSD, and the student will be allowed to access the course materials. With this option, once established, the BSD will not change regardless of future course transfers or cancellations. 

IMPORTANT: Your funding date may be different than your enrollment date. Your BSD for the type of class enrolled (PMP, ACP, LSS) is established when you are initially ENROLLED or waitlisted. Each type of course the student is enrolled in has an independent BSD.

If the STUDENT, at any point, chooses to transfer into a future course the BSD will NOT change from the date established by original course, regardless of your enrollment/waitlist status at the time of the transfer request.  
 
Class Cancellation: If your original class is cancelled by PM-ProLearn, we will adjust your BSD to align with the CSD of a future class (new CSD must be within 60 days of original CSD). You will have 14 calendar days to choose a new course or your BSD will revert to the original CSD. NOTE: A change in class modality (i.e., change from onsite to virtual) is NOT considered a cancellation and the original BSD will not change if student elects to transfer to a future class.

Examples:

  • On January 1st, you or a 3rd party pay for a LIVE INSTRUCTOR led course (onsite or virtual) with a CSD of February 15th - Your enrollment date and BSD would be February 1st (2 Weeks Prior to CSD). 

  • On February 10th (inside 2-week window) you or a 3rd party pay for the same LIVE INSTRUCTOR led course (onsite or virtual) with a CSD of February 15th - Your enrollment date and BSD will be February 10th 

  • On August 20th, you or a 3rd party pay for a LIVE INSTRUCTOR led course (onsite or virtual) with a CSD of September 10th and BSD of August 27th (2 weeks prior to CSD), but on September 5th you have a personal conflict and request to be transferred to another course starting on October 15th - Your enrollment date will be September 5th, but your BSD would be August 27th (BSD of original class)

  • On March 10th, you or a 3rd party pay for a SELF-PACED course on our website - Your enrollment date and BSD will be March 10th.


Self-Paced Subscription Courses:

  • You will be enrolled in the course and provided access to all content immediately after your initial subscription payment.
     

  • The self-paced subscription model provides pay-as-you-go access without any specific service start date tied to the course access.
     

  • Subscription Courses DO NOT include any examination fee payments, retest fee payments or one-time extension options.
     

  • Your subscription will continue on a month-to-month basis, allowing you continuous access to the course materials for as long as monthly payments are made. Your access ends when you complete the course or choose to cancel your subscription.


Contracted Training with PM-ProLearn

If your organization has agreed to a formal written contract with PM-ProLearn to provide any training, ALL terms and policies will be negotiated and defined in the contract. Typically, unit funded courses are NOT considered contracted training.
 
Program Benefits

With enrollment to any PM-ProLearn course, you will enjoy access to these benefits for 365 days from your BSD:

  • Attend the same course type as many times as you like.
     

  • Access our online training content.
     

  • Exam application review and audit support
     

  • If your enrollment includes an exam fee, please see the exam fees policy below.


Program Benefits Six (6) Month Extension

You may purchase a ONE-TIME extension of your current PM-ProBenefits for an additional six months beyond your current benefits expiration date. You must be within 30 days of the expiration of your original One (1) Year to qualify for this extension. If you have been expired for more than 30 days, you are not eligible for this extension and must re-enroll as a new student. To purchase an extension, please contact our Support Team at 301-494-3888 or support@pm-prolearn.com. Only one extension may be purchased; if you need more time beyond one extension, you must enroll again as a new student.

PMP Practice Test Policy

The PMP Practice Test is used to measure a student’s readiness for the real examination and is NOT intended as a study aid to prepare for the PMP examination. Students must achieve a 75% or better on the PMP Practice test to unlock other potential benefits outlined in this policy such as exam fees, and retest fees. The practice test is limited to a maximum of three attempts. If a student fails to achieve after three attempts a 75% or better, they will be required to schedule a one-on-one with an instructor to have a custom study plan developed. After successful completion of the study plan the student will be granted access to a new practice test “Practice Test 2” and another three attempts will be given. This process will be repeated until the student either achieves a 75% or better or services for the student expire. Exam Fees Policy

Exam fees are complementary and are considered an included program benefit rather than having monetary value. Exam fees will not be refunded if the student chooses not to take the exam or has their application rejected by the approving authority. Not all PM-ProLearn course enrollments include an exam fee benefit, so please read the course description and benefits prior to enrolling to ensure you know what is included in your purchase.

First Exam Fee

If included in your purchased program benefits, the first Exam Fee will be paid for the student by PM-ProLearn if the student meets all of the following conditions within 1 year from their BSD or have time remaining on their paid extension:

  • Has received a completion certificate from a PM-ProLearn on-site, virtual, or self-paced course
     

  • Has submitted an application to the approving authority (for example, the Project Management Institute or PMI) and received approval to take the exam
     

  • Passed the Practice Test with a 75% or greater within 30 days prior to requesting exam payment
     

  • Requests payment of the exam fee by PM-ProLearn (Due to volume, it may take up to 5 business days after your request for payment to be made)

 
*A waiver of the "within 1 year from their BSD or have time remaining on their paid extension" requirement may be granted if a student's application to the approving authority was delayed due to an audit. Waivers will not be entertained for any other cause; 1 year plus a 6-month extension is more than enough time for students to complete the requirements.

Re-test Exam Fee

If a student fails their first attempt at an exam due to a lack of knowledge, PM-ProLearn will pay for ONE retest fee if the student meets the following conditions within 1 year from their BSD. We will NOT pay retest fees for failures due to technical issues, online proctor issues, cheating, or decision by the testing authority to stop your test for any reason. In all those cases, you must work with PMI and/or PearsonVUE to resolve the issue.

For a retest fee to be paid all the following conditions must be met:

  • Has received a completion certificate from a PM-ProLearn on-site, virtual, or self-paced course
     

  • PM-ProLearn paid the first exam fee
     

  • Passed PM-ProLearn's Practice Test with a score of 75% or better within 30 days of taking their original, failed exam. If the student did not clear our Practice Test with a score of 75% or better within 30 days prior to taking their original, failed exam, then PM-ProLearn does not take responsibility for the exam failure because we had no evidence that the student was fully prepared to pass it
     

  • Student took the failed examination within 30 days of the payment date for their original examination.
     

  • Provides a copy of their failed test results to PM-ProLearn within 15 days of failing the exam for us to evaluate the problem areas and provide an individualized re-study plan
     

  • Has 30 days or more remaining on their 1-year service from BSD or extension
     

  • Completes PM-ProLearn's individualized re-study plan to prepare for their retest
     

  • Requests payment of the exam fee by PM-ProLearn (Due to volume, it may take up to 5 business days after your request for payment to be made)

 
 
Refund Policy

This section only applies to PM-ProLearn refund policy. All students using voluntary education funding (i.e., AF COOL, Army CA, USCG CA, GI Bill, etc.) should consult their program specific instructions provided by the agency funding your training in conjunction with this policy. 

Refunds will only be given in the following situations:

  1. When PM-ProLearn has failed to provide agreed-upon services or failed to meet documented responsibilities.
     

  2. When a student who paid out of pocket requests a refund within 30 days of their BSD unless the student has already physically started training in an onsite or virtual course. 
     

  3. When a third-party funding source requests a refund within 30 days of the students BSD or in accordance with the criteria specified in the funding program requirements as agreed to by PM-ProLearn. 

 
If PM-ProLearn cancels an instructor-led course for any reason, PM-ProLearn will work with the organizational client or individually funded student to reschedule the course. Refunds will be given if no satisfactory dates can be agreed to.

For group training, seats not assigned within 90 days, third party purchasers must contact support@pm-prolearn.com to discuss resolution unless previously negotiated.

When refunds are given, deduction will be made for any sunk costs already incurred by PM-ProLearn on behalf of students, such as courseware purchase, exam fees, etc.

Refunds will not be given if an organizational client cancels a course for any reason. PM-ProLearn will work with the organizational client to reschedule the course; but no refunds will be given. However, if a contract is in place, the negotiated terms of the contract will supersede this policy.

If a student cannot make it to their planned course, they have 1 year from their BSD to attend any future course in-person or virtually and access our online training content. If a student does not attend a course within the 1-year period, their payment is forfeited.

Refunds will not be given for self-paced subscription enrollments unless our system is unavailable for more than 2 days during a given month. Refunds will not be given for previous subscription months, regardless of student inactivity.

Exam fees will not be refunded if the student chooses not to take the exam or has their application rejected by the approving authority.

Any refunds under this policy must be requested by the original funding entity and all refunds will only be sent to the original funding entity.

Under GDPR, at any time, a user can request their data no longer be processed. If a user wishes to no longer have their data processed, the Company may not be able to provide you with access to specific functionalities of the service, which does not qualify the user for a full or partial refund due to unused services.

AF COOL Reimbursement Policy

PM-ProLearn will reimburse Air Force COOL for all training fees and exam fees for a student they funded, provided all the following requirements are met within 1 year of the student's BSD:

  • Student met the requirements for the First Exam Fee (see section above)
     

  • PM-ProLearn paid for their certification exam
     

  • Student attempted the certification exam and failed
     

  • Student met the requirements for the Retest Exam Fee (see section above)
     

  • PM-ProLearn paid for the Retest certification exam
     

  • Student attempted the Retest certification exam and failed
     

  • AF COOL requests the reimbursement from PM-ProLearn
